Job Description:

PRIMARY RESPONSIBILITIES:

  • Support the Project Team LIMC to ensure the overall Information Management and Document Control Program is met.
  • Process incoming and outgoing documents according to appropriate Document Management procedures, using the Project Information Management Systems.
  • Ensure documents are processed in a timely manner.
  • Assist IM and Project team in effective implementation of Document Management procedures.
  • Liaise with Project team members on regular matters pertaining to control of documents.

DUTIES:

  • Provide document control related activities for Project Team.
  • Utilize the Project document control system for Document Control, reporting and tracking activities.
  • Work with the LIMC in planning, implementing and maintaining the document control process within the project environment.
  • Ensure appropriate training provided for Project Team in all necessary aspects of document control.
  • Encourage and promote the document control program throughout the Project Team.
  • Interface with contractor’s document control to ensure information is being transmitted according to agreed procedure.
  • Ensure that Technical Document Reviews of EPC Contractor documents are carried out in accordance with agreed processes and timings.
  • Responsible for classification and inventory of project records.
  • Check Document Register attributes capture and Document Distribution requirements are being met.
  • Support the corporate CIMS self-assessment process by ensuring sound business practices within the work area and participating in the annual CIMS self-assessments as required.
  • Provide support to audits of Contractor Document Control department including review of document registers, assessment of processes and issue resolution.
  • Provide support to the ‘Documents for Operations’ (DFO) activities.

 

Qualifications:

MINIMUM QUALIFICATIONS AND COMPETENCIES:

  • Records Management or Information Systems Management degree or equivalent experience.
  • Comprehensive understanding of document control related activities for projects in the oil and gas industry.
  • Minimum 5 years experience in a document control setting preferably in the oil and gas industry.
  • High proficiency in Document Control IT tools and databases.
